Purchasing Coordinator

Position Summary:

The Purchasing Coordinator will provide support and coordination for the division Purchasing team. This position facilitates daily purchasing functions, including project planning, permit submissions, job start preparation, operational support, liaison with construction/vendors, and job cost management, by processing daily transactions and critical business data.

Responsibilities:

  • Ensure timely plan and permit approvals from municipalities, HOA, and the Architectural Review Committee (ARC) to meet project start dates.
  • Coordinate with permitting authorities and relevant approval agencies to determine and document preconstruction requirements for upcoming projects.
  • Perform all ERP system functions related to the job start process, including work order generation and release, and initiation of the construction schedule.
  • Coordinate and document the accurate and timely completion of preconstruction activities to meet forecasted job targets.
  • Coordinate daily with the operational construction team regarding extra work orders, budgetary guidance, and act as a liaison with trade partners, as necessary.
  • Provide periodic status reporting on cost overruns, budgetary accuracy, and other key metrics.
  • Assist trade partners with routine inquiries concerning pay, specifications, insurance compliance, and other day-to-day requests.
  • Perform pre-closing reconciliation of open work orders and budgets to prepare closed jobs for accrual processing.
  • Coordinate accurate information communication across functional departments.
  • Provide additional administrative to the Purchasing Manager, as necessary.

Qualifications:

  • 2+ years of experience in purchasing, preferably within the new home construction industry.
  • Excellent computer skills, including proficiency in Microsoft Office products, with a strong focus on Microsoft Excel.
  • Strong communication skills and comfortable communicating cross-functionally with internal and external business partners.
  • Highly organized, detail-oriented, and adaptable with a proven ability to manage multiple projects and deliverables in a dynamic environment.
  • Demonstrated ownership, commitment, and urgency when completing tasks.
  • Innate desire to increase job knowledge and ability to learn and apply new skills.

Physical Requirements:

This is primarily a sedentary position. May be required to occasionally bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less. Finger dexterity is required to operate a computer keyboard. This position requires public contact, as such, appropriate business apparel and professional appearance is expected.

Travel Requirements:

Occasional travel may be required to various projects, cities, and other initiatives. A valid driver’s license and active vehicle insurance is required at all times.
