We are seeking an intelligent and ambitious individual interested in an exciting and challenging position as a Contract Administrator. The general purpose of the Contract Administrator compiles and maintains contracts and records of business transactions for the forward planning & land developments. In order to achieve the general purpose of this position the following duties may be required:

Primary Responsibilities Include:

  • Provides administration and contract support for the Forward Planning & Land Development Departments.
  • Prepare contract/change orders for consultants and sub-contractors and generate work order in accounting system (Dynamics 365).
  • Track change orders/work orders, amendments, OCIP enrollments and ensure compliance.
  • Monthly budget review and forecasting with Project Managers and Accounting Department.
  • Manages contractor claim approvals in accounting system (Dynamics 365) and ensures SOX Compliance.
  • Maintains current insurance for all subcontractors using SureTrack..
  • Copies and files signed contracts and provides executed copy to subcontractors.
  • Maintains log of outstanding executed contracts and deltas of plans.
  • Prepare Check request, obtains all approvals, SOX compliance and submit to accounting department for processing.
  • May be required to sit on an HOA board.
  • Prepares and maintains lot matrix, by community.
  • Investigates researches and resolves problem billing and/or missing paperwork for consultants & subcontractors, as required.
  • Responsible for managing Green Halo website including, new community setup and tracking tonnage tags to maintain required recycle percentage.
  • Regular contact with Project Manager, field & office staff, superintendents, subcontractors and consultants.
  • Assist with obtaining permits, as needed.
  • Assist with Community Facility District (CFD) creation, including data collection and maintenance.
  • Assist with research as required; i.e.; SOX compliance, contracts, insurance. etc.
  • Responsible for obtaining business license and certificate of insurance for new communities
  • Responsible for preparing new vendor form, obtaining approvals and assurance with SOX compliance and submit to accounting for setup in accounting system (Dynamics 365).
  • Prepares request for new community setup.
  • Varies tasks associated with communities moving from acquisition to purchase.
  • May assist with bid packages (including plans and job information), contracts, addendums, purchase orders and payment schedule.
  • Orders plans for office staff, subcontractors, and field employees as needed.

  • Exercise initiative in organizing and completing assigned tasks according to established guidelines, safety standards and procedures, deadlines and department parameters.
  • Solves problems by using judgment based upon knowledge of existing products and tracts, sub-contractor schedules, management policies and departmental practices and procedures.
  • Expected to meet established productivity and task management standards, or seek assistance.

 

Supervisory Responsibilities: This job has no supervisory responsibilities.

Key qualifications include:

  • High School Diploma or general education degree (GED).
  • Prefer one-year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
  • Requires the ability to communicate effectively (written and verbal) with managers, agencies, consultants, subcontractors and all employees as needed.
  • General knowledge of the residential building industry.
  • Highly organized with the ability to handle a multitude of projects simultaneously.
  • Must have problem solving, prioritizing abilities and interpersonal skills.
  • Ability to adhere to strict time deadlines and work under pressure.
  • Must execute tasks in an efficient manner without sacrificing quality.
  • Must be able to operate office equipment to include copier and printers.
  • Must relate well over the phone and in person.
  • Knowledge of job cost accounting, Dynamics 365, DocuSign and excel are a plus.

 

Physical Requirements:

This is primarily a sedentary position. May be required to occasionally bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less. Finger dexterity is required to operate a computer keyboard.

Travel requirements:

Must be authorized to work in the United States.

This position is full time.

Job Type: Full-time

Salary. 30 – 55K depending on experience
